Communication Policy (Phone & SMS)
Purpose
Bluestone Realty Group (“Company”) uses phone calls and SMS text messaging to communicate efficiently and professionally with tenants, property owners, investors, and prospective sellers. This policy establishes standards to ensure all communications comply with applicable federal, state, and local laws, including spam and telemarketing regulations.
Scope
This policy applies to all employees, contractors, agents, and third-party vendors making or sending calls or text messages on behalf of Bluestone Realty Group.
Permitted Uses
Phone and SMS communications may be used for legitimate real estate–related purposes, including:
- Tenant communications, such as coordinating maintenance or repair requests, scheduling access, and providing service updates
- Property owner outreach, including inquiries regarding potential sale or investment discussions
- Responding to inbound inquiries related to properties or services
High-frequency marketing, deceptive practices, and mass consumer advertising are prohibited.
Consent & Lawful Basis
Communications may be initiated only when one or more of the following apply:
- The recipient provided their phone number directly to Bluestone Realty Group (e.g., lease, portal, website form, inquiry)
- There is an existing lease, business, or professional relationship
- The number was obtained from public records or reputable commercial real estate databases, where permitted by law
- The recipient initiated contact or responded to prior outreach
Autodialed calls or bulk SMS messages require prior express written consent unless otherwise permitted by law. Manual or one-to-one communications are preferred.
Identification & Transparency
All calls and SMS messages must clearly identify Bluestone Realty Group and state the purpose of the communication. Caller ID spoofing, misleading introductions, or vague messaging is strictly prohibited.
Opt-Out & Do-Not-Contact
- All non-essential or marketing SMS messages must include clear opt-out instructions (e.g., “Reply STOP to opt out.”)
- Opt-out requests must be honored immediately
- Bluestone Realty Group maintains an internal Do-Not-Contact list that must be scrubbed prior to outreach
- Marketing communications must comply with the National Do Not Call Registry and applicable state laws
Timing & Frequency
- Calls and texts may only be made between 8:00 a.m. and 9:00 p.m., recipient’s local time
- Repeated or excessive follow-ups are prohibited
- Communications must cease upon a clear indication of disinterest
Content Standards
All communications must be professional, property-related, and non-coercive. False, misleading, or high-pressure tactics are not permitted.
Data Use & Privacy
Bluestone Realty Group does not sell or share phone numbers. Contact information is used solely for real estate–related communications and handled in accordance with applicable privacy laws.
Recordkeeping
The Company maintains records of:
- How phone numbers were obtained
- Consent documentation, where applicable
- Dates and times of communications
- Opt-out and Do-Not-Contact requests
Training & Vendor Oversight
Employees and vendors acting on behalf of Bluestone Realty Group must be trained on this policy. Bluestone Realty Group remains responsible for ensuring third-party compliance.
Enforcement
Violations of this policy may result in disciplinary action, including termination of access or contractual relationships.
